Cancellation Policies

Cancellation Policy

In light of the Coronavirus Outbreak, we are altering our cancellation policies until further notice.

If you or someone in your household has the Coronavirus or you and/or a family member is quaranteened as a result of exposure to it, please stay home without worry. With a note from the healthcare professional who diagnosed your condition (text or email a copy of it to Kristin), you may have your choice of:

  • Moving your registration to a class later in the year. Or
  • Jumping to the top of the list of a sold-out workshop. Or
  • Carrying your registration fees to 2021 and having absolute first dibs on the classes offered next year. Or
  • Banking a load of Store Credit for your art supply needs. Or
  • Receiving a 100% refund of what you have paid.

Important to note, we do need documentation of your diagnosis sent electronically for these options to work.

If you are anxious about flying or being in a group of folks, you may cancel your workshop with an 80% refund as long as it is done at least 3 weeks from the start of the event.

God forbid, should our instructor need to cancel for any reason, we will set a date in the future for the workshop as soon as we are able. Should the new date not work for you, you will receive a 100% refund. Same if there are any National, State or Local mandates about traveling or gathering. Again, God forbid.

If you are booking travel for classes, please take a look at travel insurance and/or refundable airline tickets if you cannot drive here. We cannot compensate for travel costs to/from the workshops.

We have a more than adequate supply of Clorox Wipes, Hand Sanitizer, Lysol, Good JuJu, Handwashing Songs, and all the things to do on our part to keep you safe while you are here.

STANDARD POLICIES

Your workshop space is reserved with full registration or, when offered on a class by class basis, down payment. We do not “hold” spots without payment.

We know that situations can arise causing a change to your plans. It is not possible for Ephemera Paducah to favor an individual situation or circumstance over another, so we must maintain a standard business policy for all and with no exceptions. Purchased class spots are non-refundable, and we do not offer refunds or credits for classes you have to miss (except for above Coronavirus measures).

In the event that you cannot attend a workshop for which you paid in full or made a deposit, and the workshop is sold out, please email kristin@ephemerapaducah.com to inquire about a Waitlist. If available, you will be put in contact with the first person on the waitlist. From there, the payment must be worked out between you and the person on the waitlist, alerting Ephemera Paducah of whom is coming to class in your stead. If there is no waitlist, you are always welcome to sell your class spot to someone else, again alerting us to whom is attending.

$99 Holds Your Spot

If you’ve taken advantage of the “$99 Holds Your Spot” deposit for National Teaching Instructor Weekends, please be advised that your $99 deposit is applied to your registration fee but is not refundable if you cancel at any time.

The due dates for full payment are displayed in the workshop description — around 45 days before the start of class.

If full payment of the balance due is not paid by the stated due date, you will forfeit your deposit AND your seat in the class. Although we will contact you from time-to-time to remind about payment, it is your responsibility to pay in full by the stated due date.

Payments for workshops for which you reserved a spot with a $99 Deposit can be made here using PayPal or a credit card.

In the event a workshop does not reach minimum enrollment to “make” or in the extremely rare instanced is canceled due to the illness of a teacher, weather, etc., all class payments will be refunded in full, and you will be notified by email and/or phone call if a class is canceled by the shop. Please note refunds do not apply to personal travel costs expended by the student.

Workshops may be paid for via the website, calling the shop when someone is there 270-443-0003, or by check mailed to Ephemera Paducah, 333 North 9th Street, Paducah, Kentucky 42001. If mailing by check, be clear which workshop you desire to take or are paying on.

Why the changes?
In 2018 I spent an inordinate amount of time tracking down payments, managing waitlists, and handling last-minute student cancellations to the detriment of the Shop & Studio. Every excuse is valid and real, and I get that. But, in order to count on payments for teachers and continue to provide sought-after instructions and workshops, we’ve got to toughen up and match the cancellation policies in our industry.
